Lingfield Primary School is the Data Controller for personal data we hold.

Why we collect personal information

We collect and use personal information so we can:

  • Educate and support pupils
  • Keep children safe and meet safeguarding duties
  • Communicate with parents and carers
  • Meet legal duties to the Local Authority, DfE and Ofsted
  • Manage admissions, attendance, assessments and SEND
  • Employ and support staff


Most of this processing is carried out as part of our public task as a school or to meet legal obligations.

What information we collect

This may include:

  • Names, addresses and contact details
  • Attendance, assessment and behaviour records
  • Safeguarding and pastoral records
  • Medical and allergy information (where needed)
  • Photographs and videos (with consent)
  • Staff employment and payroll details

We only collect what is necessary.

Who we share information with

We only share information when required, including with:

  • The Local Authority and Department for Education
  • Ofsted and other regulators
  • Health, social care and safeguarding services
  • Companies that support the school (e.g. IT systems), under strict contracts


Safeguarding information may be shared without consent where required to protect a child.

Photographs and videos

We ask for parental consent before using pupil images for things like the school website or newsletters. Consent can be withdrawn at any time.

How long we keep information

We keep information only for as long as required by law or guidance:

  • Most pupil records: until the pupil is 25 years old
  • Staff records: usually until retirement age


Your rights
You have the right to:

  • Access personal data we hold about you or your child
  • Ask for incorrect information to be corrected
  • Request restriction or erasure in certain circumstances
